Delivering data to the Language Bank of Finland

The submission of a new resource to the Language Bank must always be agreed upon in advance with the Language Bank (see contact information). As soon as the terms and conditions for processing the material have been agreed upon and the material is ready for submission, the Language Bank will provide you with the contact details of the person who can receive the material. According to your agreement and discussion with the Language Bank, you can probably submit material to the Language Bank in one the ways listed below.

NB: The Language Bank is not liable for data loss or damage during file transfer! In matters related to data protection and security, always consult your home organization for up-to-date instructions and advice.

  1. Send the files or file packages using the FileSender service.
    • You can use FileSender if you have a user account in an institution belonging to a federation of trust, e.g., in a Finnish higher education institution. (Note that you cannot log in to FileSender with a customer account issued by CSC.)
    • If you do not have suitable user ID, ask the recipient to send you a voucher (i.e., a one-time download link) via FileSender. You can then use the link to log in and send the file to them.
    • The recipient receives a link from FileSender by email, and the recipient can use the link to download the file.
    • The file will only be stored in the service for the recipient for a certain period of time, up to a maximum of two weeks. Data transfer is protected using TLS technology.
    • FileSender can be used to send files up to 200 GB in size.
    • Tip: first compress several files or an entire directory into a zip package, for example, so that you can send it all at once.
    • If the material contains personal data or other confidential content, encrypt the file package before uploading it to FileSender. Choose the appropriate solution as needed:
      • When creating the zip package, you can use a sufficiently strong password of your choice. This means that the zip package can only be opened if the user knows the password. We also recommend selecting the AES-256 encryption method when zipping the data. If necessary, please ask the Language Bank for the recipient’s mobile phone number and send the password to the recipient as a regular text message (SMS). We do not recommend using regular email for sending any passwords! Keep the password you used for the zip files in a safe place until the Language Bank confirms that your material has been received and the decryption has been successful.
      • Alternatively, you can encrypt the package with the recipient’s personal public GPG key, in which case only they will be able to open it (see more information on using GPG keys). If necessary, request the recipient’s public GPG key from the Language Bank.
  2. You can deliver the files to the recipient in person, for example on a USB stick or removable hard drive. Delivering the files in person may be the best option, for example, in case the amount of data is high and the material is not already located on a server to which a Language Bank employee could be granted access.
    • If the material contains personal data or confidential content, please use sufficiently strong encryption and, when applicable, send the password to the Language Bank in a secure manner (see the encryption instructions above).

Many cloud services are not suitable for processing or transferring research data

Please ensure that confidential material related to your project is only processed on devices with up-to-date security measures that are adequate for the purpose. Do not use cloud services that are intended for consumer use (Dropbox, Google Drive, etc.) or social media services to deliver material! It is difficult to be certain about the security and location of material stored on these services. Please ask your home organization for up-to-date instructions.
